Roles & Responsibilities
HDI’s Local Chapter will be elected/acclaimed by Chapter members on an annual basis at a regularly scheduled meeting in April or May of each year. To be eligible for election, an individual must be a member in good standing with your local chapter.
All HDI Local Chapter officers will work together to:
- Actively represent the interests of Chapter members and the Service & Support industry profession.
- Communicate to corporate peers a dedication to professionalism that is required to help or work within a well-run Service & Support organization.
- Establish meetings and activities to promote information exchange among members through-out the year.
- Design and implement strategies for encouraging active participation among the Local Chapter members.
- Provide effective Chapter management to ensure that meetings are well organized, newsletters are published monthly, an up-to-date website is available for members, and an exciting and informative forum is provided to the Local Chapter membership
- Maintain relations and work closely with HDI Global office.
President:
Leads all Chapter meetings and social activities. Ensures that officer positions are filled, and oversees annual officer nomination and election processes. Represents the Chapter on all official HDI matters. Oversees all Chapter activities with and through other officers. Takes steps to ensure that all officers and members abide by HDI’s Local Chapter Operating Policies & Procedure Guidelines, A Document of Understanding. The Chapter President (and all other officers) should be encouraged to attend the annual HDI Conference and Expo, to grow professionally, and to participate in the annual Local Chapter Summit, held each May/June.
In addition, acts as the public spokesperson for the Local Chapter inquires in any specific area and then redirects to the specific area of responsibility. The President is also responsible for managing the annual Nomination Committee for the Local Chapter.
Participates in the monthly Local Chapter Officer call for the Canadian HDI chapters and the ThinkHDI monthly Local Chapter Officer call that is hosted from the Colorado Springs head office. Organizes an annual planning session with the local chapter officers to map out the coming year of special events, activities and meetings for the membership.
Vice President, Programs:
Identifies topics, speakers, and meeting agendas with the assistance of a programs committee (if applicable), other board members, and Chapter members. Leads Chapter meetings and social activities in the President’s absence. Serves as the primary contact person for fielding educational program ideas and requests and communicating these ideas to HDI Global, as well as presenting them on the web site.
Ensures that all events are published and kept current on the website.
The Vice President of Programs is responsible for managing the Program Committee.
Vice President, Membership:
Designs and implements strategies for building One Association membership. Coordinates membership drives and related activities with the Vice President of Programs. Establishes committees or programs to build membership. The Vice President of Membership has access on a continuous basis to the Global HDI member and prospect database for their specific geographic area, unless otherwise determined by the chapter officers, and maintains the chapter mailing list.
The Vice President of Membership’s name, company, email address and phone number is included in HDI’s Global SupportWorld magazine (unless otherwise specified).
The Vice President of Membership is responsible for managing the Membership Committee.
National Coordinator and Vice President, Finance:
Responsible for Local Chapter expenditures and receipts and maintenance of financial transactions related to the Local Chapter. Ensures that all financial commitments are for Local Chapter purposes only and that HDI Global is not liable for Local Chapter expenses, liabilities or financial obligations, or taxes associated with Local Chapter activities. Captures, records, and maintains official records of the financial transactions for the chapter.
The Vice President of Finance is responsible for submitting monthly and yearly financial reports and end of year bank statements to HDI Global on or before February 15 of each year. This report must include all income and expenses for the chapter.
The Vice President of Finance is also responsible for managing the Arrangements Committee.
Vice President, Communications:
Records minutes of Chapter meetings and issues in the meeting agenda items. Provides HDI Global with at least one copy of all announcements, newsletters, and other materials that are produced and distributed by the Chapter or on behalf of the Chapter.
The Vice President of Communications is responsible for the Communications Committee.
Newsletter Editor:
Responsible for editorial content, productions, and distribution of Chapter newsletters on a monthly basis. Includes program, meeting, and membership announcements from the President and Vice Presidents and HDI Global.
The Newsletter Editor is responsible for managing and maintaining the Newsletter Committee.
Vice President, Marketing:
Develops a marketing plan that everyone on the Chapter executive can use to promote the chapter. Investigates promotional opportunities for membership growth. Segments membership and develops strategies to service each segment. Organizes direct mail and/or telemarketing campaigns. Organizes member recognition programs.
The Vice President of Marketing is responsible for the Marketing Committee.
Webmaster
Responsible for the creation, maintenance, and integrity of the Local Chapter website. The Chapter Webmaster works closely with all officers to include chapter news, calendars of events, links to HDI Global and other support industry sites. The Webmaster is responsible for keeping the website current and up-to-date with HDI Global website.
Chief Knowledge Officer
Responsible for identifying knowledge and information relevant to the service and support industry and relevant to the professional or personal development of members. Promotes the sharing of this knowledge and information. Introduces books or articles at Chapter meetings. Develops or acquires handouts for Chapter meetings, perhaps from vendors. Encourages the use of a variety of sources, including the public library and the Chapter web site. Maintains a list of material on the Chapter web site. Determines what issues members are struggling with and looks for material on these topics. Maintains a library of material that members can borrow.
